Define the handoff before month-end
Agree on the attendance period, review deadline and person responsible at each location. Keep the schedule, actual clock records and approved changes distinct. When the payroll reviewer receives the handoff, they should be able to see what is final and what still needs a decision.

Work one exception all the way through
Imagine an illustrative retail team with a missing clock-out on Friday. Flag the record for its location manager. The manager checks the shift and supporting information, records the correction and explains why it was made. Payroll reviews the approved input alongside the rest of that employee’s period.
Do not substitute a scheduled end time simply because the actual one is missing. If the evidence is unresolved, keep the item visible and follow the organisation’s agreed process. A clear unresolved state is more useful than a silently completed row.
Keep a policy for changes after cut-off
A late approval should not disappear into a spreadsheet overwrite. Record who requested it, what period it relates to, who approved it and how it will be handled. Reconcile the change against the next appropriate review and make the outcome traceable.
Payroll reviewers should validate the applicable employment terms and statutory treatment. This operational checklist does not determine overtime eligibility, deductions or a person’s legal entitlement.
Retain the evidence behind the run
Singapore employers should check MOM’s employment-record requirements, including the working-time and leave information relevant to their records. Confirm the organisation’s retention and access rules before moving real employee data between tools.
